Room and Audiovisual Suggestions
Even the greatest presentation can be viewed as ineffective when the room is not set up properly to enhance it. To help you make Henry's program exceed your expectations and fully benefit your attendees, please consider the following suggestions and let us know if there is a problem. Henry is flexible and can work with you and the challenges of the meeting room.
EQUIPMENT:
- Wireless lavaliere (tie clip) microphone.
- Projector (1200 lumens minimum) on table at front of room. Henry will supply his own computer.
- There must be an electrical outlet or extension for a power source at the computer / projector table place in center at front row of seating.
- Screen, 8' by 8' minimum, bottom of screen at least four foot from floor, top extended as high as possible. Placed to the right front of stage.
- Dry erase board or flip chart on tripod (solid back on sturdy base) w/markers placed at left front of stage.
- All wiring must be securely duct-taped to the floor to prevent tripping hazard.
STAGING:
- If possible, have room set up theater or classroom style with center aisle. Position first row about six feet from front or stage.
- Place projector table in front middle aisle. Screen to right of stage (viewing towards front), dry erase board or pad to left front of middle of stage.
ROOM ENVIRONMENT:
- Adequate lighting on front without hampering screen imaging from projector. Henry will utilize the entire front or stage (He is very energetic!) and will stay near the front. Spotlights (if any) should be aimed toward center front.
- People are most alert in bright lighting. Keep lights dimmed near screen but full lighting towards back of room.
- A cool room temperature also produces an alert audience, while a warmer room makes everybody very drowsy, and a hot room irritates the audience to no end! Actual room temperature should be between 68 to 70 degrees Fahrenheit.
- Windowless room preferred. If room has windows be sure that all windows are draped or blinds are drawn to prevent outside light from entering room.
- Room to be set up and ready no less than two hours before start of program.
- Half-circle rows facing front work best. If tables are being used, they should six foot tables by minimum of 18" deep but no more than 30 " deep, with three chairs per table.
